Managing Students
The Students module is where you'll spend most of your time. Here's how to
get the most out of it.
Adding a new student
Method 1: Admissions workflow (recommended)
- Go to Admissions → New Application
- Fill in the student's personal and academic details
- Upload required documents (birth certificate, transfer certificate, etc.)
- Set the admission status to Approved when ready
- Click Enrol to convert the application into an active student
Method 2: Direct creation
If you're migrating existing students or need to add someone quickly:
- Go to Students → Add Student
- Fill in the required fields (name, grade, class, guardian contact)
- Click Save
Assigning a student to a class
Students are automatically assigned to a class during admission. To change
a student's class:
- Open the student's profile
- Click Edit
- Select the new class from the Class dropdown
- Click Save
Promoting students to the next grade
At the end of each academic year you'll promote students. Scholva has a
bulk promotion tool for this:
- Go to Students
- Select the students to promote (use the header checkbox for all)
- Click Bulk Actions → Promote
- Choose the destination academic year and class
- Review and confirm
promotion automatically — if you make a mistake, you'll need to use the
receive-transfer tool to move them back.
Generating student ID cards
- Open the student's profile
- Click Generate ID Card
- Choose a template
- Click Print or Download PDF
