Managing Students


The Students module is where you'll spend most of your time. Here's how to

get the most out of it.


Adding a new student



  1. Go to Admissions → New Application
  2. Fill in the student's personal and academic details
  3. Upload required documents (birth certificate, transfer certificate, etc.)
  4. Set the admission status to Approved when ready
  5. Click Enrol to convert the application into an active student


Method 2: Direct creation


If you're migrating existing students or need to add someone quickly:


  1. Go to Students → Add Student
  2. Fill in the required fields (name, grade, class, guardian contact)
  3. Click Save


For bulk migration, use Students → Import CSV to add many students at once.


Assigning a student to a class


Students are automatically assigned to a class during admission. To change

a student's class:


  1. Open the student's profile
  2. Click Edit
  3. Select the new class from the Class dropdown
  4. Click Save


Promoting students to the next grade


At the end of each academic year you'll promote students. Scholva has a

bulk promotion tool for this:


  1. Go to Students
  2. Select the students to promote (use the header checkbox for all)
  3. Click Bulk Actions → Promote
  4. Choose the destination academic year and class
  5. Review and confirm


Once promoted, students appear in the new class. You cannot undo a bulk

promotion automatically — if you make a mistake, you'll need to use the

receive-transfer tool to move them back.


Generating student ID cards


  1. Open the student's profile
  2. Click Generate ID Card
  3. Choose a template
  4. Click Print or Download PDF
