Managing Students

The Students module is where you'll spend most of your time. Here's how to get the most out of it.

Adding a new student

Method 1: Admissions workflow (recommended)

Go to Admissions → New Application
Fill in the student's personal and academic details
Upload required documents (birth certificate, transfer certificate, etc.)
Set the admission status to Approved when ready
Click Enrol to convert the application into an active student

Method 2: Direct creation

If you're migrating existing students or need to add someone quickly:

Go to Students → Add Student
Fill in the required fields (name, grade, class, guardian contact)
Click Save

| For bulk migration, use Students → Import CSV to add many students at once.

Assigning a student to a class

Students are automatically assigned to a class during admission. To change a student's class:

Open the student's profile
Click Edit
Select the new class from the Class dropdown
Click Save

Promoting students to the next grade

At the end of each academic year you'll promote students. Scholva has a bulk promotion tool for this:

Go to Students
Select the students to promote (use the header checkbox for all)
Click Bulk Actions → Promote
Choose the destination academic year and class
Review and confirm

Welcome to Scholva — the all-in-one platform that helps schools run smoothly. This quick-start guide walks you through your first login and the main things you can do on day one.

Logging in for the first time

Open app.scholva.com in your browser
Click Sign in and enter the email your school administrator invited you with
Check your email for the verification link
Set your password and you're in

|| If you didn't receive the invite email, check your spam folder or ask your school admin to resend the invitation.

Completing your profile

On your first login you'll be asked to fill in a few details:

Full name — how you appear to other staff and parents
Profile picture — helps people recognise you in discussions
Notification preferences — choose how you want to be alerted

Navigating the dashboard

The left sidebar is your main navigation. It changes based on your role:

Owners & Admins see all modules — school, transport, billing, HR
Teachers see their classes, students, attendance, exams
Parents see only their children's information
Students see their own schedule, grades, and assignments

Understanding User Roles and Permissions

Scholva uses a role-based permission system to make sure people only see what they're supposed to.

The roles

Owner — the person who created the school account. Has full access to everything, including billing, module activation, and user management.

Admin — trusted staff with full operational access. Can manage students, staff, classes, fees, and school settings, but cannot change billing or transfer ownership.

Teacher — access limited to their assigned classes. Can mark attendance, create assignments, grade exams, and message parents of their students.

Staff/Member — general staff with permission-based access. Office staff, accountants, HR staff fall into this role with specific permissions granted by an admin.

Parent — read-only access to their children's information: attendance, grades, fees, announcements, homework.

Student — access to their own schedule, exams, grades, and assignments.

Guest — limited read-only access for visitors and temporary users.

How permissions work

Every action in Scholva is gated by a permission like school:student:view or school:attendance:create. When an admin assigns a role, they can also customize individual permissions for that user.
